We are seeking an experienced Office Assistant with Reception duties to join our team in our Tees Office on a fixed term 12 month contract. As an Office Assistant, you will be responsible for providing exceptional support to our teams in delivering efficient services. You will work closely with the local team, as well as external stakeholders to demonstrate your business acumen. Specific areas of responsibility and main tasks will be to:

• Provide reception/admin support for the Tees office ensuring all visitors are courteously received and that they are signed in/out the visitor’s book and telephone calls are dealt with in a prompt and efficient manner.  Ensuring the reception area is always kept in a tidy manner.

• To process all deliveries to the office both internal and external, also arranging couriers for parcels to be dispatched.

• To receive and distribute incoming post and collate outgoing post daily.

• To monitor and order stationery for the office

• To support the business organizing meetings, booking rooms, arranging refreshments. Ensure onsite meeting rooms are ready for use after each meeting.

• To provide administration support to all departments within the Tees office when required.

• To ensure alarm tests are done on a weekly basis and recorded.

• To be the contact with the outside caterers for the daily food provisions, also ensuring stocks of kitchen equipment are kept to and acceptable level.

• Be the main contact for Office maintenance.

We are looking for :

  • Proven experience of working in a receptionist role/admin role.

  • IT literate with experience of using Microsoft Office and Outlook.

  • Excellent interpersonal and organizational skills.

  • Ability to work as part of a team or on own initiative.

  • The ability to maintain strict confidentiality of information.
